If you're planning a business trip abroad and require a visa, this article outlines what Horizons (as your Employer of Record) can help with and equally important, what we cannot support due to our role as an EOR.
Our goal is to ensure you understand the process clearly and have everything you need before applying.


When You Need a Business Visa

Employees often require a visa when traveling to another country for meetings, trainings, business events, or client engagements. While the destination country’s regulations vary, most business‑visa applications require two components:

  1. An invitation letter from the host company (the organization you are visiting)
  2. Evidence of employment from the employer of record (Horizons)

What Horizons Can Help With as Your EOR

Although Horizons is not the inviting company, we can support your visa application by issuing an official company employment letter. This letter is meant to help the embassy or consulate understand:

  • Your employment relationship with Horizons
  • Your role, start date, and official employment location
  • That you are traveling for legitimate business purposes related to our client or a partner company

✔ The EOR Employment Letter Can:

  • Confirm that you are legally employed by Horizons in your home/origin country
  • Verify your job title, employment start date, and personal identification details
  • Acknowledge that you have an invitation from our client/business partner
  • Support your application by validating the purpose of your trip

Important: This letter is not an invitation letter. Horizons is not the host company and cannot act as the “inviter” for your trip.


What Horizons Cannot Do

As an Employer of Record, Horizons cannot:

  • Issue a formal invitation letter for the business trip
  • Act as the inviting entity in the destination country
  • Guarantee visa approval or influence embassy decisions
  • Provide sponsorship for visas that require a host company in the destination
  • Confirm or arrange activities with the receiving company
  • Communicate directly with embassies or consulates on your behalf


Only the company you are visiting (e.g., the client, partner, distributor, or host organization) can issue the official business invitation letter required by most embassies.


What You Should Do to Complete Your Application

To proceed with your business‑trip visa:

1. Obtain the Invitation Letter from the Host Company

You should contact:

  • Your main point of contact at the company you’ll be visiting, or
  • The company organizing your meetings / business agenda

If you are not sure who the correct contact is, we can help review your itinerary to identify the right person.

2. Request the EOR Employment Letter from Horizons

Once you have the trip details (dates, purpose, host company), we can issue our supporting letter.


What Information Must Appear in the EOR Employment Letter?

To ensure consistency with the invitation letter and embassy requirements, we will include the following:

Employee Information

  • Full name (as shown on passport)
  • Passport number
  • Date of birth
  • Employment start date
  • Job title

Company Information

  • Full entity details of Horizons in the employment-origin country (your official employer)
  • Full entity details of the client/partner in the destination country (the official inviter)

Trip Details

  • Trip itinerary (must match the invitation letter)
  • Purpose of the business visit
