How to create a custom expenses approval policy?

Horizons gives you the flexibility to design your own expense approval policy tailored to your company’s needs. Follow the steps below to set up and manage your custom policy:


1. Navigate to Approval Policies

To get started, go to the Sidebar, click on 'Settings', and select 'Approval Policies' from the sub-menu.



2. Select the Right Option

Approval policies allow you to:

  • Create a new expense approval policy that fits your specific preferences.

  • Modify existing policies.

  • Assign employees to pre-built rules like 'Direct Reimbursement' or 'Quick Approval'.

  • Assign employees to a custom-made, specific expense policy.




3. Explore Pre-built Rules

Horizons offers two pre-built rule templates for your convenience:

  • Direct Reimbursement: Trusted employees can submit their expense reports for direct reimbursement without the need for approval on the Horizons portal.

  • Quick Approval: The employee’s line manager is solely responsible for reviewing, approving, or rejecting the expenses submitted.
     


4. Create a Custom Policy

To create a new policy, click 'Add New'. A blank template will appear, and you'll be prompted to enter your desired rule name.

Next, customize your multi-tiered approval process by adding one or more approvers at each level. Once any approver in a given tier makes a decision (approval or rejection), that tier’s approval process is considered complete.
Approvers within the same tier will receive simultaneous email notifications when a reimbursement request is submitted.


 


5. Manage and Edit Your Rules

To review or modify an existing policy, click on the 'View>' link next to the policy name. From there, you can click 'Manage' to make changes. To assign the policy to specific employees, simply check the boxes next to their names and click 'Save'.
